How to..


Create your database

A new Database can be created by using the "Database New" function in the File menu.

Then some category folders can be added to the Database tree.

The icon and text of the folders can be customized.

When some category folders have been inserted, you can start adding documents.

When a new Database is created, the File/Save as.. menu item must be used to assign a new name to the Database file.

 

Create a multipage PDF from JPG images

You must use the Multipage PDF window. All instructions are in the "useful tools" pages of the manual.

 

 

Use ARkeeper as image viewer

Read in the "add document" pages of the manual how to do.

 

 

Acquire and archive images from a scanner or from a digital camera

Once that a Database tree has been created, a single page can be acquired from a scanner as described in the "add document" pages of the manual.

Multiple pages can be acquired from an ADF scanner or from a digital camera.

 

 

Compute and plot an account balance

The use of this function assumes that the Database tree contains nodes associated with money information. These nodes contain also calendar date information.

It is assumed that the nodes corresponding to incomes contain a POSITIVE money value and those associated to expenses contain a NEGATIVE money value.

When the Money Balance Graph button is pressed, the following window is shown:

Press the "Refresh" button or the "This Year J-D" button to plot the values.

This function allows to compute and plot your money account balance, incomes and expenses. Only the marked nodes containing money information will be plotted.
If no nodes are marked in the Database tree, a warning message will appear.

Graph commands:
- Left mouse button to Zoom
- Right mouse button to Unzoom
- Alt + Left mouse button to view values
- Hold right mouse button and move to view other parts of the graph
- The labels on the graph can be moved (drag and drop)

By pressing the "This Year J-D" button, the plot range is automatically set to the current year, from January 1 to December 31.

The total balance, total incomes and total expenses values are then computed and visualized.

A snapshot of the graph can be saved to disk as image.

 

 

Add and archive an URL

URLs can be archived by means of the internal web browser. Read in the "useful tools" pages of the manual how to do.

 

 

Search documents and create a report

The search tool allows to find documents or nodes in the Database tree. The nodes found are marked in the Database tree.

The report tool creates an HTML printable Report of the marked nodes. The mark/unmark of the nodes can be performed manually on the Database tree or generated by a search.

 

 

Create and modify an invoice

The complete procedure for creating and managing Invoices is described in the "invoice and special folders" pages of the manual.

Demo Database

A demonstrative Database is included in the setup package. This database is called "DemoDatabase". When the DemoDatabase is loaded, some node properties are automatically adjusted, in order to allow the file links to work, independently from the installation path of the program. Invoices included in the DemoDatabase use the COMMA setting.

Also some other parameters of the program are automatically preset at the first run of the program, to simplify the use of the program (Database autoload, some default paths,..). Anyway all these settings can be changed at any time by the user.

The main limitation of the demonstrative version of the software is that the database cannot be saved. Any other operation is allowed: you can add documents to the Database, create multipage PDF files, acquire from the scanner, etc...

 

Acrobat Reader versions, hidden windows

ARkeeper can use its internal PDF viewer or the standard (freeware) Acrobat Reader program (called here external viewer). In both cases Acrobat Reader MUST be installed on your system.

There are differences between the behavior of version 4 or 5 of Acrobat Reader and the new version 6 (now called Adobe Reader). ARkeeper MUST know which version is installed on your computer.

In simple words, if you have installed Acrobat Reader version 4 or 5, the internal viewer can be used (this is recommended), but if you have installed the new Adobe Reader version 6 it is necessary to use the external viewer.

At the first run of ARkeeper an autoconfiguration test on your installed version is performed. The version of the installed Acrobat Reader can be changed at any time by pressing the "Update" button (Settings window / PDF View section) or by relaunching the autoconfiguration test (see the Help menu).

When the external viewer is used, sometimes it may happen that the opened PDF file is not in foreground, (this should not happen too frequently). In this case just press the Acrobat icon on the Windows taskbar to view the file.

A general recommandation: when the external viewer is used to preview PDF files in the Database tree, the manual closing of Adobe Reader must be avoided!! Let ARkeeper manage this...
Use instead the "Document Preview" button () to close the Adobe Reader or simply click on a folder node on the Database tree.

 

 

“no text” nodes

When a new node is added to the Database tree, it may happen that the node text is “no text”, even if another name had been given by the user in the "Add Document" window. This can be ignored: the node name is correctly assigned and will be refreshed later on the Database tree.

 

 

Autoconfiguration

This function is launched at the first run of the program. The purpose is to get information about the installed Acrobat Reader and Internet Explorer version. More information in the "settings and preferences" pages of the manual.

 

 

Dot and comma in currency file

The Decimal Separator box allows the selection between the values "COMMA" and "DOT" and informs about the program the decimal separator symbol to be used. The preset is "COMMA". This setting is useful to adapt the program to your country and to your Windows international settings.
WARNING: changing this setting could make unusable some INI files if, for example, some floating point values have been saved with the decimal separator DOT and the setting has been changed to COMMA. In particular the Changes.ini file, containing the exchange rates between different currencies, will become invalid. The ARkeeper installation folder contains 2 files, ChangesComma.ini and ChangesDot.ini, and when the COMMA/DOT setting is changed, one or the other overwrites automatically the file Changes.ini. Also the VAT value (Invoices.ini file) could be affected, if it contained a floating point value. The floating point money value contained in the document nodes of the Database are automatically converted. To prevent any error, the COMMA/DOT selection should not be changed after the right setting for your computer and country.

The COMMA / DOT setting can be changed as described in the "settings and preferences" pages of the manual.

 

 

Small and large fonts

The Small Fonts / Large Fonts setting allows a (partial) adaptation of the program to the font setting of your operating system. Small fonts are used in 90% of Windows systems (this is the default Windows setting) and ARkeeper has been developed in compliance with this setting. Anyway some little adaptation is possible if your computer uses Large Fonts. The use of small fonts is, however, recommended!

The Small Fonts / Large Fonts setting can be changed as described in the "settings and preferences" pages of the manual.

 

 

Audio card settings

To hear MP3 and WAV audio files linked to Database nodes, the "Enable Audio preview support" must be enabled. The selected device driver must be of "Directsound" type.

These settings are described in the "settings and preferences" pages of the manual.

 

 

Thumbnails

When a folder node is selected in the Database tree, a thumbnail list of all children nodes is visualized. By clicking on a thumbnail of a document, the corresponding document will be selected and visualized.

 

 

Currency conversion rates

The Currency Conversion Rates table used by the program is in the Settings window. These values can be edited by the user. More information are in the "settings and preferences" pages of the manual.

 

The values can be changed also by editing directly the ASCII file Changes.ini. Remember to use the correct decimal separator (see above).

Date format error

If the use of some functions (for example Invoice Check or Create Invoice) causes an error, try going to Windows International Settings (from Windows Control Panel), Date section, select the dd/MM/yy or the MM/dd/yy short date format and press apply. If the short date example field in the International Settings control panel shows a correct date, the problem should be resolved also in ARkeeper.

 

Automatic check for update and internet connection

The program (only the full version) automatically check for an updated version on internet at every run.
If a permanent internet connection (for example DSL or LAN) is not available, a message asking to connect to internet could be shown (depending on your Windows settings). To avoid this, the automatic update check can be disabled: uncheck the Help/Automatically check for new version menu item.
If you have a permanent internet connection, it is recommended to keep active this function.
